Dealer Administrator (Fixed-Term 15 Months)
Location: Remote in Ontario
Compensation: $52,000 – $55,000 annually
Contract Term: November 1, 2025 – mid/end of February 2027
Hours: Monday–Friday, 9:00 AM – 5:00 PM, plus scheduled Saturdays
- October–April: Saturdays from 9:00 AM – 1:00 PM, worked every 4th Saturday
- May–September: Saturdays from 9:00 AM – 4:00 PM, worked every 3rd Saturday

About the Role:
We’re looking for a detail-oriented Dealer Administrator to join our team for a fixed-term 15-month contract to backfill a parental leave. You’ll manage deal files, documentation, and communications from start to finish, supporting dealers, customers, and internal teams. To ensure a smooth transition, an extended onboarding period with the current administrator will be provided before their leave, followed by a brief handover upon their return.
What You’ll Do:
- Manage deal files from start to finish, ensuring accuracy, compliance, and smooth processing.
- Serve as the first point of contact for customers and dealers, handling inquiries by phone, email, fax, and web.
- Support deal execution, including credit applications, payment quotes, and coordination with internal and external stakeholders.
- Maintain deal information in Salesforce and Quantech, keeping data organized and up to date.
- Prepare paperwork for Toyloan and Legend Boats deals, including warranty certificates.
- Monitor funding timelines and provide regular status updates to relevant parties.
- Assist with warranty and insurance cancellations, and perform lien searches when needed.
- Collaborate with Business Development and Accounting teams to resolve issues and streamline processes.
- Adapt to evolving responsibilities as company needs change, contributing to team success.
What You Bring:
- Diploma or degree in Business Administration, Finance, or related field.
- 1+ year of administrative or finance experience.
- Excellent organizational skills and keen attention to detail.
- Strong communication and customer service abilities.
- Ability to work independently and meet deadlines in a remote setting.
- Proficiency with Dealertrack, Salesforce, Quantech, warranty systems, and funding portals.
- Flexibility to work occasional extended hours as needed.
- Ontario-based candidates preferred for time zone alignment and infrequent requirement to attend in-person meetings
- Satisfactory Criminal Record Check required
- Bilingualism (French/English) is an asset
Compensation:
As a Dealer Administrator, you will earn a competitive salary between $52,000 – $55,000 annually based on experience.
